Intelligent set-up wizard |
Examines the input file and automatically maps required fields to their contents. Prepares the input file for the Import / Extract process, which performs data enhancement and generates match keys.
- The user can manually assign field names where necessary, to allow for matching, sorting or filtering of any information contained in the data, (i.e. SSN, DOB, DUNS, email, Demographic, etc.)

Imports from all common file types |
Access, DBF, CSV, Tab or Pipe delimited, Fixed width or without carriage return, Visual FoxPro, Paradox, and more. |

Imports and exports using ODBC |
Imports and Exports using standard ODBC drivers – SQL Server, Oracle, DB2, MySQL and Access, with others by arrangement.
- matchIT allows you to update source tables to remove duplicates, reassign orphaned records and replace names and addresses with clean, standardized data.
- You can write custom scripts to export matching information and run stored procedures in e.g. SQL Server.
- matchIT ensures that you are in full control of updates to your database.

Export matching results to file |
Groups matching records together so the output file may be used to remove duplicate records, reassign orphan records etc. into your source DBMS.
We believe in giving the customer a choice of what to do with the matching results, whether that is to:
- Output a clean mailing file using matchIT
- Directly update customer source data files using matchIT via ODBC, or plugging in our findIT component
- Have an additional layer of user control in the updating of the source data by exporting matching information from matchIT.

Phonetic matching |
helpIT systems proprietary phonetic algorithm, soundIT, takes into account vowel sounds and syllables, and more importantly, determines the stressed syllable(s) in the word.
- This means that "Batten" and "Batton" sound the same according to soundIT, as the different letters fall in the unstressed syllable. "Batton" and "Button" sound different, as it is the stressed syllable that differs.
- Another advantage of soundIT is that it can recognize groups of vowels and consonants that form vowel sounds – thus it can equate "Shaw" and "Shore", "Wight" and "White", and "Leighton" and "Layton" , as well as less common errors such as Moir and Moya.
Non-phonetic fuzzy matching |
Locates equivalents such as Bob and Robert as well as typing and reading errors (Wilson & Wislon). Intelligently matches where acronyms are sometimes employed; e.g. International Business Machines with IBM, I B M and I.B.M. |
Summary and detail matching reports |
- Reports to show matching results by key and by score range, so you can immediately gauge the quality and quantity of matches found.
- Detail matching reports that can be printed or output as PDF files, for individual departments or users to examine as required.
Data audit reports |
Data Summary Report to provide an audit of the quality and nature of the records in the file and shows potential data errors, as well as useful statistics including postcode, telephone, nationality, gender and salutation counts, and where salutation contradicts name. |
Quality Assurance wizard |
The Quality Assurance Wizard guides the user through key processes and methods including summary and drill-down views, sampling and ordering, to pre-empt data or user errors which could affect the quality of output. |
Drill down to suspect data |
Allows you to "zero-in" on categories and records for which entries are shown in the Data Summary and browse them on screen, print them, delete them from the file, and/or copy them out to a separate file. |
Exports to all common file types |
Access, DBF, CSV, Tab or Pipe delimited, Fixed width or without carriage return, Visual FoxPro, Paradox, and more.
- matchIT will export to any file type that it can import. For output to Access, you can write out CSV, DBF or Excel files that Access can read, or use ODBC.

Intelligent data merge |
This function combines data from duplicate records intelligently so that you do not lose information e.g. one record has a phone number, SSN, DUNS, DOB, Business title, etc. and the other has a more complete name or address. |
Merge/purge using two files |
Identify People/Records that exist in more than one file and export overlapping records (Often refered to as a "Multi-Buyer" option. matchIT can match files in different formats where e.g. :
- The individual name in File-1 is all in one field (e.g. John Smith), and in the other file it is split into it component parts (e.g. Title, First, Initials, Surname (e.g. Mr, J R, Smith)
- One file has more address lines than the other.
| Transfer data between matching records |
| Export records overlapping across files |
Tuning of matching options |
Although matchIT offers standard dedupe levels for individual, family, household and business matching, it also allows full flexibility for implementing non-standard matching rules e.g. matching on other items of data such as phone number, date of birth – anything you know about your customer. You can also match individuals at different branches of the same company. |
User control of grading of matches |
matchIT allows you to set matching weights according to whatever requirements you have, however unusual – even using negative weights if you do not want certain kinds of match to be reported! |
Customizable reports of matching records |
matchIT’s fully flexible report generator allows you to include additional data items on reports e.g. order dates for matching records. The Report Branding option allows you to include your own company logo and contact information without having to modify each report individually. |
User maintainable lexicon of names and words |
Tap into and enhance the software logic with the ability to add names and words such as new forenames, countries and offensive words, and phrases like "Gone Away", to matchIT’s tables to ensure the most effective screening and standardization of data. Enforce rules for name output (i.e. Fedex=FedEx, HELPIT=helpIT systems, Sls Mgr= Sales Manager). |
Unlimited merge and suppression files |
matchIT‘s Multiple File Wizard allows you to process any number of files to be merged and any number of suppression files in one job, assign file priority, and the ability to amend and repeat easily at a later date. |
Scripting of regular jobs |
Any job that can be processed by matchIT can be scripted as a regular job that is easy for untrained users to repeat.
- Job scripts allow programmers or other technical staff to plug any designed processing into matchIT’s operation, so that end user can have the benefits of a standard package for the standard functions, combined with specific programs tailored to your specific needs.
- matchIT job scripts can be automated by specifying command line parameters for the matchIT program.

Intelligent casing |
matchIT can intelligently case strings like MacDonald, O’Reilly, DeNuzio & DiFilipo, van der Valk, Smith-Walker, IBM and PO Box. |
Intelligent salutation generation |
matchIT can derive salutations from freeform names such as Mr. J. R. Smith, Jane Smith and Herr Wilhelm Schmidt, as well as from complex names like Dr R G Roberts MA and joint names like Mr J Smith & Miss G Brown. |
| Splitting of freeform names |
Relocation of data to improve structure |
matchIT can relocate data that is in the wrong field e.g. company names or postcodes that are floating in the address lines, which not only improves the match rate but also allows you to improve the structure of your source database. It can also relocate town and county to fixed fields. |
User-friendly query manager |
The Query Manager generates SQL commands in a user-friendly manner which allow you to select records or perform counts according to criteria which you can repeat later or modify. |
Campaign selection and history |
The Campaign module of matchIT allows you to select records for mailing campaigns, keep track of who was selected for each campaign and exclude non-responders from previous campaigns. |
